In-Person Meeting Requirements/Release

MSEA is committed to public health practices that reduce the risk of COVID-19 and help protect all participants and event staff, which includes requiring full vaccination and recommended boosters, if eligible, for in-person attendance, as well as consistent and appropriate mask-wearing and social distancing.

Only individuals who can show that they are up-to-date on their COVID-19 vaccinations, including having received any recommended boosters, may participate in person. Those who submit appropriate verification of eligibility for medical or religious accommodations may participate virtually or in another location at the event site via live stream, if available. In completing the registration, those seeking medical or religious accommodations should select the virtual option; however, attendance shall be contingent upon review and approval of the documentation requesting said accommodations.

Participants attending the in person event must agree to MSEA’s COVID-19 Waiver of Liability and Code of Conduct for the event in order to attend.

Assumption of Risk and Waiver of Liability

I acknowledge that:

By registering for this Convening, I acknowledge and understand all risks associated with possible exposure to and contraction of COVID-19 and am voluntarily participating in the event for my own benefit, the value of which is sufficient consideration for my voluntary execution of this agreement.

I further acknowledge that I understand and assume the risk that exposure to and contraction of COVID-19 may result from the actions, omissions, or negligence of yourself and others, including, but not limited to, MSEA employees, officers, representatives, agents, and any others present at the Convening. Additionally, I agree to release and hold harmless MSEA and its employees, officers, representatives, and agents from any and all alleged and/or actual liability, claims, actions, lawsuits, damages, or losses of any kind which arise out of or result from attendance and participation at the Convening. I understand and agree that this release includes any claims based on the actions, omissions, or negligence of MSEA, its employees, officers, representatives, or agents. I agree to release and hold harmless MSEA and its employees, officers, representatives, and agents from any and all claims, demands, and causes of action arising out of or relating to my participation in the Convening I am registering to participate in and use of any associated facilities or hotels.

I agree to abide by the guidelines set out by MSEA and any additional rules and/or guidelines set by the Convening venue, the State of Maryland, and other governmental authorities that may be published prior to or during the Convening, including but not limited to requirements and/or guidelines pertaining to wearing of a certain type of mask, vaccination, and social distancing, among others. If any provisions contained in this agreement shall be invalid, illegal or unenforceable in any respect, under any applicable law, the validity, legality and enforceability of the remaining provisions contained herein shall not, in any way, be affected or impaired.

This waiver and release shall be interpreted and construed according to the laws of the State of Maryland.

COVID-19 Code of Conduct: In Person Protocols Effective as of February 7, 2022

I agree that by registering for the Convening, I commit to abiding by the guidelines set by MSEA, as well as any additional rules and guidelines established by the Convening venue, the State of Maryland, and any others promulgated by governmental authorities published prior to or during the Convening. We encourage all attendees to follow Center Disease Control (CDC) guidelines to prevent the spread of COVID-19.

Before You Leave Home

Get Fully Vaccinated and Boosted.

Attendees will be required to present verifiable proof of being fully vaccinated, including recommended boosters, upon arrival. Attendees can present their vaccine card (or copies), a digital vaccine passport on a pharmacy or medical app, or a vaccination form from your health insurer. Other apps such as md.myir.net, CLEAR, CommonPass, or VeriFy are all acceptable.

COVID Test

MSEA strongly recommends that attendees take a COVID-19 test immediately prior to traveling to the event. If positive, do not travel to the event.

Self-Assessment

Evaluate your own health and that of people with whom you are in close contact. Please do not travel if you are sick or if you have been around someone with COVID-19 in the past 10 days.

Onsite Requirements

Attendees must present proof of COVID vaccination at the start of the event, or entry will be denied. Attendees should follow guidance from the Centers for Disease Control (CDC) and the Maryland Public Health Department to prevent the spread of COVID-19 including but not limited to the following:

Masks

All attendees must wear a KN95 mask (or N95 respirator) or equivalent quality mask. Cloth or surgical masks or face shields alone are not acceptable. Gaiters or masks with exhalation valves or vents are not acceptable. Masks must cover your nose and mouth and must be worn at all times while inside the MSEA Convening site, except when consuming food or beverages in designated areas. Masks must also be worn at all other times as required by event organizers. Attendees must provide their own masks and MSEA is under no obligation to provide PPE.

COVID Test

Virtual Attendees Only. Attendees approved to attend via the virtual option shall be required to self-test using a rapid antigen test prior to entry to the viewing room. Testing shall be done upon arrival at the Event site and shared with MSEA via an email address and process which will be provided to attendees in advance. A positive test will result in a request for you to leave the premises.

Social Distance

Adhere to social distance protocols established by the event organizers and/or the hotel and respect others’ personal space.

Self-Assessments

Assess whether you are experiencing any symptoms consistent with COVID-19, including but not limited to if you are not feeling well or are experiencing flu-like symptoms. If you are not feeling well or are experiencing flu-like symptoms, return to your room/home and self-quarantine. Immediately seek medical advice and notify event organizer.

Failure to adhere to the COVID-19 Code of Conduct will result in a request to leave the event.
